Privacy notice
Last updated 7 October 2026
Otis is a self-service home-selling service for properties in England & Wales. This notice explains what personal data we hold, why we hold it, who we share it with and what your rights are. If anything here is unclear, email team@otisestate.com.
Who we are
Otis is a trading name of KERB PROPERTIES LTD, a company registered in England and Wales (company number 17394401). Registered office: 66 Paul Street, London EC2A 4NA. KERB PROPERTIES LTD is the controller of the personal data described here, and “we” and “us” in this notice mean that company. You can contact us about anything in this notice at team@otisestate.com.
What we hold
If you are selling with Otis
- Your account details: name, email address, mobile number and a securely hashed password.
- Your property: its address, details you give us, photographs and video you take or import, floor plans, your listing description and the material information a listing must carry.
- Your sale: viewings, offers, messages and, if we switch on our phone assistant, records of the calls and texts it handles for you.
- Identity checks we must carry out before a sale can progress, and records of them.
- Payment records. Card payments are taken by our payment provider; we do not see or store your full card number.
If you are a buyer enquiring about a home
- Your name, email address and mobile number, so the seller can reply.
- What you are looking for and your buying position (for example chain free, or how you are funding a purchase).
- As you move towards a viewing, an offer and exchange: mobile verification, sanctions screening and, later, identity and source-of-funds checks. We only ask for more as each step needs it.
- If we switch on Otis's phone assistant, records of your calls and texts with it about the property.
If you join the lettings waitlist on this website, the form sends us your name and email address, plus three details it fills in itself: which form you used (mode), where on the site you signed up (source) and whether you used email or Google (provider). We use them only to tell you when Otis lettings opens. The form is handled by Netlify Forms, and Netlify stores the submissions for us as our processor. Netlify also runs each submission through its spam filter (Akismet). We keep them until lettings launches and we have told you, or until you ask to be removed, whichever comes first. To be removed, email team@otisestate.com.
Why we use it, and our lawful bases
- Contract — to provide the service a seller has signed up for: valuing, listing and marketing the home, arranging viewings and handling offers.
- Legal obligation — anti-money-laundering and sanctions checks, the information a property listing must include, and keeping records the law requires us to keep.
- Legitimate interests — replying to buyer enquiries, keeping the service secure, preventing fraud, and improving how Otis works. We weigh these against your rights and do not use them to override them.
- Consent — where we ask for it, such as camera and photo-library access in the app, and when you join the lettings waitlist. You can withdraw consent at any time in your device settings or, for the waitlist, by emailing team@otisestate.com.
We do not sell personal data, and we do not use it for advertising.
Who we share it with
We share personal data only as far as needed to run the service:
- Between seller and buyer, where it is needed for the sale (for example a buyer's name and position on an offer). A seller's private notes are not shared with buyers.
- Service providers who process data on our behalf: hosting (Render, Netlify), AI drafting (Anthropic) and payments (Stripe). If we switch them on, our phone assistant (ElevenLabs), call and message records (Twilio) and email sending (Resend) will be processed by those providers too.
- Regulators, law enforcement or others where the law requires us to.
Some of these providers process data outside the UK. Where they do, we rely on the safeguards UK data protection law provides for international transfers.
How long we keep it
We keep account and sale records for as long as you use Otis and then for as long as we need them for legal, accounting or complaint purposes. Anti-money-laundering records must by law be kept for five years after the business relationship ends. After that, data is deleted or anonymised.
Cookies
This website does not set cookies and does not use analytics or advertising trackers. Fonts are loaded from Google Fonts, which means your browser connects to Google's servers. If we ever add cookies that are not strictly necessary, we will ask first.
Your rights
Under UK data protection law you have the right to ask for a copy of your personal data, to have it corrected, to have it deleted or restricted, to object to how we use it, and to have it moved to another provider. Some of these rights are limited where the law requires us to keep records. To use any of them, email team@otisestate.com; we will reply within one month.
If you are unhappy with how we have handled your data, please tell us first. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.
Changes
We will update this notice when what we do changes, and show the date at the top.
